How do I order a translation?

To order the translation please pay the total gross translation price into the provided LingPerfect bank account. The basis of starting the translation process is receipt of a confirmation of payment into the account. The deadline for performing the translation is counted from the moment of sending the Client's payment confirmation, followed by a confirmation from LingPerfect Translations LLC accepting the order. The day of the translation order is not included in the translation deadline. |

2. Procedure for regular Clients
To order the translation please reply to the e-mail from the Account Manager, which includes the quote or calculation of the translation costs, and confirm/accept the costs set out in the e-mail.
Are the quoted costs final?
showThe quote prepared by our specialist shows standard translation costs which are always final, because we charge for the source (submitted for translation) text and not the target (the result of the translation) text.
Exceptions include:
- sworn translations, where we estimate the cost of the translation, however it rarely changes
- interpretation - where often the conference goes for longer than expected or there is a change of plans, which requires our translator to work longer
In what format should I send the file to be translated?
showThe best file format containing text for translation is any Microsoft Word file, e.g. .doc, .docx.
Furthermore, any editable text (.txt, .ppt, .xls) significantly simplifies the initial analysis.
However, we accept almost every file format, which contains text, also photos or scans of text in .jpg, .tiff, .pdf and other formats.
How long will it take for the text to be translated?
showWe offer great flexibility in the pace of translation and keep costs at adequate levels tailored to every budget.
Standard mode:
- up to 5 pages a day
- next-day delivery
- without extra payments
Accelerated mode:
- up to 8 pages a day
- same-day delivery (up to 5 pages)
- 50% extra payment
Express mode:
- up to 15 pages a day
- same-day delivery (up to 8 pages)
- 75% extra payment
Super-express mode:
- more that 15 pages a day
- same-day delivery (up to 15 pages)
- 100% extra payment
To receive an urgent, express or super-express (same business day) translation, the order confirmation must be returned to us by 12:00 noon at the latest.
What are the costs of translation?
showThe cost of translation depends on many factors. You will receive a free complete quote after e-mailing us the text intended for translation.
The cost of translation depends on:
- the required language pair (source and target)
- type of text (specialized/general)
- type of file (editable/non-editable)
- the required translation mode (standard/super-express)
- type of translation (standard/sworn)

What is the status of my translation?
showAll answers to your questions will be provided by the person who prepared the quote and is looking after you (usually an Account Manager).

In what format will I receive the translation?
showThe translation will be sent to you in the format agreed upon during the initial stage of ordering.
If the document was sent as a text file, then the translation will be returned in the same format, keeping the original formatting.
If the file was sent in a non-editable format (e.g. a scan, photo, PDF), the translation will be returned as an editable text file with formatting as close as possible to the original.
For complicated non-editable files, such as advertising catalogs or instruction manuals, we offer a DTP option. In this way you can receive a language version identical to the original and ready for printing. For further details please call or e-mail us.
How do I pay for a translation?
showAfter the translation is complete we issue a VAT invoice with a due date of 14 days. For reasons of convenience, we issue a collective invoice at the end of the month, in which the order was completed.
If the order did not exceed net PLN 500.00, then the Client paid the costs of translation prior to commencement of the order, based on a pro-forma invoice. In this case, at the end of the month we send an invoice marked as ‘paid’.

I want to translate 100 pages for the following day. Is this possible?
showWith a large and experienced team we are able to allocate work so that the text will be translated within the time frame requested by the Client, even in such short a time.
However, a Client placing an order for urgent, express or super-express translation is aware of and accepts the risk of errors, which cannot form the grounds for any claims.
Complaints
showBecause different words and grammatical or stylistic structures can be translated in different ways and still mean the same thing, we do not assume responsibility for choosing one of several synonymous expressions.
Editing should not be confused with improving the style, only with 'smoothing it out' and standardization.
Please rest assured that we will make every effort to use adequate auxiliary materials and glossaries, within reason.
Accelerated translation (urgent, express and super-express)
In accepting an urgent, express or super-express order we will make every effort to ensure the highest possible quality of the project. A Client placing an order for an urgent, express or super-express translation is aware of and accepts the risk of errors, which cannot form the grounds for any claims.
After the Client notifies LingPerfect of any errors, LingPerfect agrees to correct them within seven business days.
Complaints
If the Client does not notify us of any objections regarding the ordered project within 10 business days of completion, they waive all rights to challenge the payment of all invoices issued for the given project.
Possible verification of the text shall be
entrusted by the Client to persons who have the appropriate qualifications to
challenge translations performed and checked by high-quality translators, and
the Client shall appoint a person, who can correctly (conversationally) use the
given language, to communicate with LingPerfect.
The verifier and person discussing the complaint
shall know both languages of the translation. In addition, the reservations
shall be specific, precise and substantiated - they cannot be based solely on
aesthetics, tastes and other subjective preferences, based on the subjective authority
of the verifier.
The Client agrees to pay an hourly rate or other
appropriate rate for the necessity of responding to an extremely unfounded
and/or incompetent proofreading.
In addition, LingPerfect is excluded from liability for errors in the original and for substantive verification of the text (i.e. we do not check medical diagnosis, monitor the legality of a contract, check historical dates, check the Client's mathematical calculations, designs, formulas etc.). We are not responsible for the oversight of such errors.
LingPerfect's total liability for any claims shall in no event exceed the sum of the costs incurred by the Client for LingPerfect in accordance with the provisions set forth herein. Any legal action against LingPerfect must be taken not later than one year after the appearance of claims. This does not waive the above-mentioned 10-day period for submitting reservations.
We are insured with PZU in the amount of PLN 1.5 million
showIn the interest of the highest quality of services and protection of our Clients, our company has taken out an insurance policy.
Since 2010, PZU S.A. has been covering the insured for civil liability for losses caused by exercising professional translation services, in the amount of PLN 1,500,000.
Is my information secure?

We treat each document we receive for quoting or analysis as confidential. We are aware of the fact that often translated documents are strictly confidential, such as financial statements, reports or correspondence.
In addition, all employees in the office and translators with whom we cooperate, have to sign a confidentiality agreement prior to starting work with us. This agreement requires them to keep the documents being analyzed or translated confidential.
We suggest you sign a formal confidentiality agreement before the work commences. This is designed to protect the companies cooperating with us.
LingPerfect is a member of the American Translators Association and meets the guidelines set out in the Code of Professional Conduct and Business Practices of the ATA.
I am a private person. Can I use LingPerfect to translate a text?
showLingPerfect provides services only for business Clients, and state and local government institutions.
We only settle accounts with our Clients based on a VAT invoice.
